HR: frequently asked questions

Short answers about where the staff list went, who sees salaries, how leave days are counted and what happens when someone leaves.

The staff list used to be under School. Where is it?

Under HR › Staff. Three things moved out of School when HR arrived: the staff list, working hours (the old Time sheets module) and age groups with their ratios. Rooms, children and parents are still under School.

Who can see salaries?

Only administrators. Employment records — salary, IBAN and contract terms — are never shown to teachers or lead teachers. The monthly payroll card on the Overview is administrator-only too, and it sits behind the Show amounts toggle, so it is off screen until you ask for it.

Who can approve leave?

Only administrators. Lead teachers lead a room and see the wider picture, but deciding on a leave request — Approve or Reject — is an administrator's call. Anyone can ask for leave; only an administrator answers.

A request shows a ratio warning. Can I still approve it?

Yes. The warning tells you a room would drop below its ratio on at least one day — it does not block the approval. Arrange cover, then approve. If warnings appear for absences that are genuinely fine, check the ratio on that age group.

Why does a week of leave only cost four days?

Because a public holiday falls inside it. Days installed under Settings › Public holidays are skipped when leave days are counted. If the arithmetic looks wrong, check that year's holiday list first.

What is the difference between used and booked?

Used is leave that has already happened. Booked is approved leave still in the future. Both come off the balance, so the “N left” figure is genuinely what remains.

Someone has no leave balance showing. Why?

The leave type has no annual allowance, which makes it unlimited — unpaid leave is usually set up this way. Types without an allowance show no bar and never run out.

Can staff book their own leave?

Yes, from the staff app or their profile on the web. If the leave type requires approval, the request waits in your queue; if it does not, it is granted immediately. Sick leave is often set to auto-approve so that nobody waits on a manager while ill.

How do I change somebody’s role or rooms?

Open their profile from HR › Staff. Accesses in the header changes the role; the Rooms card in the sidebar changes rooms. A member of staff assigned to no rooms will not appear in attendance or in any ratio check.

Someone shows “N missing” documents. What is missing?

The document types your center requires from staff, set under Documents › Settings. Open the person's profile to see which ones, then upload the file or request it from them.

What happens when someone leaves?

Set the End date on their employment record. Their history — hours worked, leave taken, documents — stays for your records, as you need it for an inspection or a reference. Remove their room assignments so they stop counting towards coverage.

Can I export hours for payroll?

Yes. Export in Timesheets downloads the week you are looking at, one row per person and a total column. Export each week of the month for a monthly run. Export on the staff list downloads the people rather than the hours.

We do not use ratios. Does HR still work?

Yes. Leave, timesheets, employment records and hiring all work without a single ratio. You simply lose the coverage warnings: rooms read No ratio set and requests carry no ratio badge.

Does kidsday decide who to hire?

No. kidsday reads a CV to save the applicant retyping their details and uses your About the role text to suggest how well someone fits. The shortlisting and the decision are yours — read the CV itself before you judge anyone.
